In the project settings you define central status values and tags for documents – each named and colour-coded. This lets your team label files consistently (e.g. "In review", "Approved").

File status

Open Settings → Status. Enable Activate file status and – if the status should also apply to case files – additionally Activate status for case files too. Then type a status name and click Add.

The file-status settings with named, colour-coded status values

Each status can be coloured, ordered by number and deleted again (trash icon). Under Automatic change settings you can have the status reset automatically on file changes and pass it up to the parent case file.

Tags

Open Settings → Tags. Enable Activate tags for documents, create colour-coded tags via Tag name + Add, and store them with Save changes.

The tag settings and the period column for documents

Period column

You can additionally show a period column for documents. You choose whether years, months or both are shown, plus the span backwards and forwards. In the file view several periods can be assigned per file – handy for retention or validity periods.

German and English labels

Each document status can carry a German and an English label. Everyone then sees the status in whichever language their own profile is set to – so in mixed-language teams you no longer have to settle on a single wording.
