Answers to common questions about mail synchronisation. For an overview of all connection types see Mail providers & connectors.
Which mailboxes can I connect?
Microsoft 365, Gmail/Google Workspace, local Exchange and any provider via IMAP/POP3. Per-provider details in the connector overview.
My IMAP account won't connect to Microsoft 365
Microsoft has disabled basic authentication for IMAP/POP in Exchange Online – a classic IMAP connection can no longer sign in. For M365 use the Graph Connector or a journal mailbox.
IMAP or POP3?
IMAP is usually the better choice – messages remain on the server. POP3 downloads messages and, depending on the configuration, removes them from the mailbox.
Signing in to Gmail fails
Gmail does not allow ordinary password sign-in for IMAP. Create an app password at myaccount.google.com/apppasswords and use that.
What does "audit-proof" mean?
Archiving is only truly seamless and tamper-proof via a journal mailbox. Direct access (Graph Connector, Google Sync, IMAP/POP3) is convenient but not audit-proof.
Mails don't appear or appear late
Synchronisation runs at regular intervals. If there are problems, check the credentials, test the connection again and make sure the account is actively connected.
How do I assign mails automatically?
Via Mail assignment settings – see also the full flow under Digitise incoming mail.
