Aktenplatz can file the attachments of incoming mails automatically. That way PDF files from your mails, for example, end up in the right place without any manual work – in the file or in your Global Files.

1. Add attachments to the file

Open the Project Settings (gear) → InterfacesMail. In the Mails in Records section, expand PDF attachments of filtered mails in File Cards. Enable the toggle “Show PDF attachments of filtered mails in the File Card's attachments” so that PDF attachments (or other file types) of an assigned mail are automatically added to the file – directly or into a subfolder.

Then click Save changes.

2. Show attachments in Global Files

In the Filter attachments in global documents section you decide whether mail attachments appear in your Global Files. All mails are still imported; using Off, Allow list and Deny list you control which receiving addresses show their attachments there.

When a mail contains a PDF file, it is automatically filed into a corresponding folder of your Global Files.

3. Sort into the right file

With the FindAndBind assistant you then sort the filed documents into the matching file with just a few clicks. Make sure the “Skip email files” option is not enabled, so that mail attachments are suggested too.
