If you use several mail accounts – e.g. name@company.com, marketing@company.com and academy@company.com – you can connect them separately in Aktenplatz. That way each account's mails land in the matching project, and you can link different accounts to different projects.

1. Open External mail accounts

Open the Project Settings (gear) and, under Interfaces, select Mail. In the Mail Imports section, expand External mail accounts and click Add.

2. Connect the account

The Add mail account dialog opens. Enter your mailbox credentials:

  • Type – usually IMAP
  • host – your provider's IMAP server (e.g. imap.company.com)
  • port – the IMAP port (e.g. 993)
  • username – your mail address or account name
  • Password – the mailbox password
  • ssl – enable it if the connection is encrypted

Check your entries with Test connection and then click Save. The account is connected to this project; its mails will be imported here from now on.

3. Connect further accounts

Repeat the steps for other mailboxes. To assign another account to a different project, open that project's settings and connect it there. This keeps your accounts' mails neatly separated by project.
