Aktenplatz can automatically assign incoming mails to the matching file. That way, besides master data and documents, you have all the mail correspondence with a person right inside their file – ideal for customer service or HR management, for example.
1. Define the assignment rules
How mails get assigned to files is controlled centrally via the Mail Assignment Settings in the project settings. There you create rules by which Aktenplatz decides – e.g. based on sender, subject or a customer ID – which file a mail belongs to.
2. Assigned mails in the file
Open a file and switch to the Mail tab. Here you find all mails assigned to this file – filterable by All, Sent and Received. As long as no mail account is connected or no mail matches yet, it shows “No Emails”.

3. Adjust the rule for this file only
If you want a different assignment for a single file, click Modify Search query in the mail tab. There you can add or remove extra rule lines without changing the project-wide assignment.

Use New Mail to compose a message straight from the file – it is then stored here as well.
